Entities that support the HI Service and My Health Record system need to register and get a HI Service registration number.
Organisations that are using these services are:
- contracted service providers (CSP) who manage or communicate health information for health care providers
- entities that provide infrastructure and information for the My Health Record system used by health care providers
- healthcare support service providers (HSP) that help older Australians and people with disability
- health administration entities (HAE) who are relevant organisations that support the delivery and monitoring of health programs.
Entities can be any of the following:
- registered repository operators
- registered portal operators
- health administration entities
- healthcare support service providers.
As an entity, you need to register to use the HI Service.
It’s important to note that HAEs and HSPs don’t have access to My Health Record.
Once you register, entities can:
- access healthcare identifiers for patients, provider organisations and individual health care providers
- participate in the Secure Message Delivery program which allows health care provider organisations or individual health care providers to send secure messages to each other
- view and upload information to patients’ My Health Records (for applicable entities).
You need to register your organisation as either a health care provider or an entity to access the HI Service and My Health Record. You need to submit an application form to:
- apply for a registration number
- request a National Authentication Service for Health (NASH) Public Key Infrastructure (PKI) certificate.

If your organisation manages or communicates health information for health care providers, you need to register as a CSP, using the Application to register a contracted service provider organisation form.
If your organisation provides infrastructure and information for the My Health Record system, you need to register as an entity, such as a HAE portal operator or repository operator, by completing the Application to register a new entity form.
If your organisation provides support services, you need to register as an HSP by completing the Application to register a healthcare support service provider form.
After you register, you need to set up your access to the HI Service and My Health Record.
How you set up your access depends on the type of IT entity you work for. The health care organisation you provide IT services for manages your access.
As a CSP you’ll have a deactivated CSP number status until you’re linked to the first health care organisation you support.
To access the HI Service and My Health Record for a health care organisation, you need to:
- give your CSP registration number to the health care organisation’s maintenance officer (OMO) who can link to your CSP number for access to the HI Service
- get your NASH PKI organisation certificate to access the HI Service and My Health Record.
Once your CSP organisation is active, you can use your software to:
- access the HI Service and My Health Record
- send secure messages.
What your software can access depends on the:
- products you develop for the HI Service and My Health Record system
- IT services you provide to each organisation.
The Australian Digital Health Agency (ADHA) manages your access as a registered repository or portal operator. You can find out about using My Health Record on the ADHA website.
It’s important you keep your organisation’s details up to date so we can:
- contact you about the HI Service
- help other registered organisations and health care providers find you to send secure messages and referrals
- make sure your information in My Health Record system is correct.
Only officers of contracted service providers and entities can update their organisation details in the HI Service. They need to complete one of these forms to update or deactivate organisation details and officer information:
- Application to amend details of a contracted service provider organisation record form
- Application to deactivate or retire a contracted service provider organisation form
- Application to add, replace or remove a contracted service provider officer form
- Application to amend a contracted service provider officer’s details form.
