Changes to residential aged care claiming

6 June 2022

We’re updating our aged care payment system to support residential aged care funding reform.

This means you won’t be able to submit events or finalise claims for residential aged care services from 14 to 22 July 2022 inclusive. To avoid any delays to payments, outstanding claims must be finalised before 13 July. Providers will be paid the July advance as normal, and will also be paid the August advance early (mid-July) to minimise financial impacts.

The changes will include:

  • new functionality in the Aged Care Provider Portal (ACPP)
  • updated forms
  • updated payment statements.

Aged Care Provider Portal

The changes mean you’ll be able to do more in the Aged Care Provider Portal, including:

  • uploading supporting documentation for enteral feeding and oxygen events
  • registering emergency leave for care recipients during periods of emergency, as declared by the Department of Health
  • ability to see updated leave balances for all care recipients in your care.

Form changes

We’re decommissioning the following forms. This is because we can now get this information from the Department of Health:

  • Aged Care approved provider statement (AC003)
  • Register or amend for Aged Care Online Claiming using File Upload or Business to Business (AC006)
  • Terms and Conditions for Aged Care Online Claiming using Web forms (AC007)
  • Terms and Conditions for Aged Care Online Claiming using File Upload or Business to Business (AC008)
  • Aged Care Application for an Extension of Transition Care (AC012)
  • Application for 21 day Extension for Residential Respite Care (AC017).

We’re also updating the following forms. You’ll now need to use your Service ID (NAPS ID) on these forms instead of your Residential Aged Care Service (RACS) ID:

  • Application to add or change Approved Care Service’s bank details (AC015)
  • Aged Care Entry Record (AC021).

Please remove any previous versions of these forms you have saved. From 23 July 2022, if you use an old version, we’ll ask you to resubmit.

Payment statement changes

We’re adding new fields to payment statements. This will make it easier for you to reconcile your payments. You’ll also notice changes to some headings.

Palliative care

Entry requirements for palliative care recipients are changing. You’ll need to tell us if someone requires palliative support when they enter care.

This won’t impact your payments.
